# A photographer based in Portugal, or one you fly in? Costs, language and local knowledge

> Flying in a photographer you love can be worth it — but the fee is only part of the bill. The real cost items, what local knowledge changes on the day, and a worked example.

Some couples have a photographer at home whose work they love, or one who photographed their siblings’ weddings, and want them in Portugal too. Others find someone who lives and works where they are marrying. Both choices are good; they just cost different things, and the difference is rarely the fee itself. This guide puts the items side by side so you can compare two quotes honestly.

## What a photographer you fly in actually costs

On top of the photographer’s fee for the day, ask about each of these. Some photographers quote travel as one flat amount; others list each item; some ask you to book flights and rooms yourselves.

- **Flights**, return — for two if a second photographer or an assistant comes too.
- **Baggage.** Camera bodies, lenses, lights and a drone rarely fit the cheapest ticket; checked or extra bags cost more.
- **Accommodation.** Usually the night before and the night of the wedding, often one more for a day-after session or to be safe. On Madeira strong winds sometimes delay flights, so a spare day before the wedding is wise.
- **Meals.** For the days away from home, beyond the meal on the wedding day.
- **Getting around.** A hire car, fuel, tolls and parking — most venues outside the cities are hard to reach without one.
- **Travel days.** A day spent travelling is a day the photographer can’t work, so some charge for it and some include it. Ask which.
- **Insurance and paperwork.** Ask whether their equipment and liability insurance covers work abroad, and, if they fly a drone, whether they are registered and can fly at your venue.

## Travel inside Portugal counts too

Portugal is small, but a photographer based in Lisbon still faces a long drive to the [Douro](https://lensandvows.com/portugal/douro) or the [Algarve](https://lensandvows.com/portugal/algarve) and a flight to [Madeira](https://lensandvows.com/portugal/madeira) or the [Azores](https://lensandvows.com/portugal/azores). Some include travel within their own region and add it beyond; a wedding on the islands may need flights and a night or two. So “local” really means close to the venue. ## A worked example

A full-day wedding in the Algarve on a Saturday in September. To isolate the travel, all three photographers charge the same fee for the day, €3,000. **Every travel figure below is an assumption for the arithmetic, not an average** — replace them with the numbers in your own quotes.

In this example the photographer flown in costs €1,610 more than the local one for the same day of work. ## What local knowledge changes on the day

### Permits and rules

Famous places have rules of their own. In the Parks of [Sintra](https://lensandvows.com/portugal/lisbon) a wedding session costs €150, paid at the monument’s ticket office on the day — it can’t be paid in advance — and covers up to six people including the photographer, in the gardens only, never inside the monuments, with no tripods, external flash, reflectors or drones (as of October 2026). An organised ceremony on a beach, in a park or a town square may need permission from the câmara municipal, and protected areas have their own rules. A photographer who works in the area usually knows what applies and how far ahead to ask; one flying in has to find out.

### Drones

EU drone rules apply in Portugal. An operator registers in the EU country where they live (Regulation (EU) 2019/947, article 14), and flying is restricted near airports and in many protected areas. On top of that, capturing aerial images in Portugal needs an authorisation from the Autoridade Aeronáutica Nacional (AAN), requested online. ### Light and timing

Where the sun sets, and when, decides the portraits. In mid-September it sets around 19:40 in Faro, 19:45 in Lisbon and 20:14 in Funchal on Madeira, while the Azores keep their clocks an hour behind the mainland. ### Language

A civil wedding in Portugal is conducted in Portuguese, with an interpreter if one of you doesn’t speak it. The venue team, the caterer and the registrar mostly work in Portuguese too. A photographer who speaks it can follow what is about to happen and ask for the thirty seconds a photo needs; one who doesn’t can still do excellent work, with a little more planning. ## What a photographer you fly in can bring

- **The work you want.** If one person’s photographs are what you want on your walls, nothing replaces them.
- **A shared language and culture** with you and your guests — jokes, traditions and the names of everyone in the family photos.
- **History with your family.** Someone who photographed your siblings’ weddings knows who is who.
- **Experience of travel.** Photographers who work abroad often plan travel days, backups and equipment better than anyone.

## Questions to ask, whoever you choose

- Is travel included in the price? If not, which items are extra — and who books flights and rooms?
- Do you charge for travel days?
- When will you arrive, and what happens if a flight is cancelled? Do you have someone who can step in?
- Have you photographed at our venue, or nearby? Do you know its rules for photographers?
- Do you need any permit for the places we want, and will you arrange it?
- Does your insurance cover working abroad? If you fly a drone, are you registered?
- What language will you use with the registrar, the venue team and our families?

## Questions couples ask

### Is it cheaper to hire a wedding photographer based in Portugal?

Usually the total is lower, because a local photographer has little or no travel to charge: no flights, hotel nights or travel days. Fees themselves vary from photographer to photographer wherever they live, so compare complete quotes that include every travel item.

### Do destination wedding photographers charge for travel days?

Some do and some include them; there is no common rule. A travel day is a day they can’t work, so ask whether it is charged, at what rate, and whether flights and rooms are in the quote or booked by you.

### Should a photographer flying in arrive the day before the wedding?

Yes — at least the day before, so a delayed or cancelled flight doesn’t cost you your photos. For Madeira, where strong winds sometimes delay flights, a spare day is wise. Ask what their backup plan is if they can’t arrive.

### Do we pay for our photographer’s meals?

It varies: some contracts ask for a meal on the wedding day, some include everything in the price, and a photographer travelling from far away may add meals for the days away. Agree it in advance and tell your caterer.

### What does a photographer need for a wedding session in Sintra?
